You can now send emails (like booking confirmations and pre-arrival information) to Room Guests as well as the Lead Guest associated with a booking.
If you have a multi-room booking, did you know you can add Room Guest details? This effectively allows you to create multiple guest records under a single booking.
👥 How to Add Room Guests
On the Rooms tab of a multi-room booking, click the greyed-out person icon beside a room.
- This will open a new customer database entry in a separate tab.
Fill in the guest’s details, then click the “Add Customer” button at the bottom of the form.
- Return to your booking and refresh the screen. You’ll now see the person icon is no longer greyed out - confirming the Room Guest is linked.
đź§ How to Send an Email to Room Guests
Once multiple guests are associated with a booking, you can email them individually or all at once.
- Go to the Lead Guest tab of the booking.
- Click “New Email.”
- In the “Select Recipient” dropdown, choose from:
- Lead Guest
- All Guests
- Individual Room Guests (listed by name)
👥 Who Appears in the Dropdown
The dropdown separates guest types to make selection easier:
Option | Who It Includes |
Lead Guest | Main contact for the booking |
All Guests | All guests linked to the booking |
Individual Guests | Each Room Guest listed by name |
đź’ˇ Good to Know
- Select the “Load Email Template” prior to selecting your recipients.
- Double-check recipient selection before sending.
- You can still personalise the content - just be mindful when emailing multiple guests.
- Useful for group bookings or when additional travellers need key info.
