If you have a live account with travelocity you can now automate availability, rates and bookings by interfacing/connecting your iBex account to travelocity.

Action

Request travelocity to activate channel manager connection

Await confirmation from travelocity before proceeding to step 3.

Note your property ID which will be displayed in the property search results at the bottom of the screen.

This will be required for step 21 below. Refer example screen image below.

Still logged into the Extranet, click the Content Management menu link. On this screen, verify as follows:

Currency matches that set in iBex channel manager/property management system
Manage inventory is set to Room Category level

Still logged into the Extranet, click the Pricing & Inventory menu link.

Click + adjacent to Current: Room Category(s) to expand section.

See example screen image below.

Click rate plans link for each room type to view rate ID/s for the room type.

See example screen images below.

Note room and applicable rate IDs which you will require for step 27 below.

In our example above we have a Room ID (Superior Room) of S1D with rate codes of TN1 and TP1, and a Room ID of S1D3N (Superior Room) with a rate code of TN1

From left menu select Sales Channels Add a sales Channel

At the pop up window titled ‘New Sales Channel’ click the button Register Available Sales Channel

Enter ‘travelocity’ into the search field at top right of window and press enter on your keyboard.

Matching results will be displayed – see example screen image below.

If this the first and only connection to travelocity click the green plus icon adjacent to travelocity-LastMinute (see above example).

If this is an additional connection select travelocity-LastMinute (Connection 2 or 3) as appropriate. Refer Important Notes section below.

Optionally update General section fields as required. Notes are private.

At Rules section:

select required Selling Group (likely to be Agents)
select Rate Modifier (Rate 1 will typically be same as you sell at, other options will be a % increase or discount. See IMPORTANT at page footer for travelocity’s requirements.)
set Multi-booking Invoice as required (PMS accounts only. No means you will send an invoice for each booking, yes means you batch multiple bookings into an invoice)
set Commission charged by travelocity (PMS accounts only. )
set Commission Extras Code (PMS accounts only. Likely to be Misc Cmsn)

Refer example below:

Click Register Sales Channel button.

You will progress to the Channel Mapping tab.

Enter your email address at iBex Notification Emails To field.

It is recommended that iBex Email on New Booking are set as follows:

Block Operator – not checked
Block Property – checked
Block Customer – checked

It is recommended that iBex Booking Email Rule is set to ‘Do not send emails’.

At Channel Property ID enter your travelocity property ID (as obtained in step 4).

It is recommended that Send Rates is set as ticked.

Set Min Stay Handling field as required (we recommend First Available).

This is really only relevant if you will be mapping a single room type from iBex to multiple room types at travelocity (eg. for length of stay price variations, etc).

Set Allocation Handling field as required (we recommend Total per Room).

This is really only relevant if you will be mapping a single room type from iBex to multiple room types at travelocity (eg. for length of stay price variations, etc).

Click Save button.

If you receive an error at this point you have likely missed step 1 where travelocity must provide permission for the iBex channel manager to interface to your travelocity account.

Room and rate mapping will now be set – refer sample screen image below.

Complete each room mapping row as follows:

Channel Room ID – enter Room ID at travelocity (refer step 9).
iBex Rate Name – select as required.
Channel Rate ID – enter Rate ID at travelocity (refer step 9.

Click ‘+’ to map any iBex room type to further room types at travelocity (eg. for differing minimum stays/rates – see notes at bottom of this page). See image below for an example where the Standard Room has been connected to multiple room types at travelocity.

Click Save button.

Click Save & Update Channel button.

Wait a few minutes and click View Log button.

If the Remote Service Log Viewer indicates queued updates are pending, wait a further few minutes and click the ‘Refresh’ button.

If you have performed the connection successfully you will see OK messages for inventory & rates uploaded.

IMPORTANT NOTES

You can transmit a deal description to travelocity by entering a description in the rate description/inclusion field within your iBex account. To add the description/inclusions.

In iBex, select Search/Maintain Rates in the Rates section in your menu
Click on the ID that you want the description to apply to
Enter the details in the Description/Inclusions field
Click Save button
Repeat as required for other rates

traveocity require you send them a sell rate less their commission of 25%. We recommend you assign them to a user group/rate combination in iBex with a multiplier of .75 to achieve this.

Base 1 pax rates from iBex not transmitted to travelocity unless the max guest count in the rate is also 1. Where a room holds more than 1 person and the base rate in iBex is 1, then the 2 person rate will be transmitted to travelocity.

iBex supports up to 3 connections to travelocity from a single property. Instructions vary at step 9 above if setting up a 2nd or 3rd connection.

After any extensive modification of your rates/prices within iBex it is recommended you perform a full re-synch to travelocity. Click here for instructions.

Add travelocity as an ODN agent in Seekom iBex

From left menu select Users & Clients Create agent • no admin rights
At field labelled Seekom ODN Agents select travelocity-LastMinute (ODN) If setting a second connection select ‘travelocity-LastMinute (Connection 2)’ or for a third connection select ‘travelocity-LastMinute (Connection 3)’
Set User Group and Room Rate Value as required
Set other fields as required
Click Save button (towards bottom of screen)

From left menu select Users & Clients Agent Room-rate mapping.

Remote Service Control Panel screen will open

At ‘Available Services’ field select LastMinute (travelocity-Lastminute)

If setting a second connection select ‘LastMinute travelocity-LastMinute (Connection 2)’ or for a third connection select ‘LastMinute travelocity-LastMinute (Connection 3)’

Tick Enabled check box.

At Remote Property ID enter your travelocity property ID (as obtained in step 4).

At ‘Available Services’ field re-select LastMinute (travelocity-Lastminute)

Check Enabled field.

Enter your email address at Notify Errors field.

Interface rules will now be set – refer sample screen image below.

It is recommended that Stop Emails are set as follows:

Operator – not checked
Property – checked
Customer – checked
Agent – checked
3rd Party – checked
Disable Auto – checked

We recommend the field post Rates is checked.

Set Allocation Handling field as required.

This is only relevant if you will be mapping a single room type from iBex to multiple room types at travelocity (eg. for length of stay price variations, etc)

Set field Min Stay Handling as required. Relevant options for travelocity are:

First Available – if you are setting up one to one room type mapping only and merely wish travelocity to operate to lowest min stay pricing.
Specific Minstays – if you wish to map a specific min stay duration pricing to travelocity and/or will be mapping one room type in Ibex to multiple room stay variations at travelocity.

Room and rate mapping will now be set – refer example screen image below.

Complete each room mapping row as follows:

Remote Room ID – enter Room ID as obtained in step 9 above.
Rate Name – Select as required.
Remote Rate Name – enter Rate ID as obtained in step 9 above.
Request – we recommend this is set as ‘Unavailable’.

To map any iBex room type to further room types at travelocity (eg. for differing minimum stays/rates – see notes at bottom of this page) click ‘+’

Check Re-Synch on Save field (bottom left of screen) and click Save button.

Wait a few minutes and click ‘View Log’ hyperlink (coloured blue).

If you have performed the connection successfully you will see OK messages for inventory & rates uploaded.

Access Price Change from Rates & Min Stay Menu
Select view of Availability/Bookings/Rates
Click on rate short code (eg. nt-studio)
Enter details at Conditions/Inclusions field
Click Save button
