Note: If you would like Seekom support to make the connection for you, a charge of $110 per hour (+tax) will apply with a minimum charge of $50 (+tax).

From left menu select Sales Channels Add a sales Channel

At the pop up window titled ‘New Sales Channel’ click the button Register Available Sales Channel

Enter ‘roam’ into search field at top right of window and press enter on your keyboard.

Matching results will be displayed – see example screen image below.

If this the first and only connection to Roamfree click the green plus icon adjacent to Roamfree Direct (see above example).

If this is an additional connection select Roamfree Direct (Connection 2 or 3) as appropriate. Refer Important Notes section below.

General section fields as required. Notes are private.

Rules section:

select required Selling Group (likely to be Agents)
select Rate Modifier (Rate 1 will typically be same as you sell at, other options will be a % increase or discount)
set Multi-booking Invoice as required (PMS accounts only. No means you will send an invoice for each booking, yes means you batch multiple bookings into an invoice)
set Commission charged by Roamfree (PMS accounts only. )
set Commission Extras Code (PMS accounts only. Likely to be Misc Cmsn)

Click Register Sales Channel button.

You will progress to the Channel Mapping tab.

Enter your email address at iBex Notification Emails To field.

It is recommended that iBex Email on New Booking are set as follows:

Block Operator – not checked
Block Property – checked
Block Customer – checked

It is recommended that iBex Booking Email Rule is set to ‘Do not send emails’.

At the Channel Property ID field enter your Roamfree Property ID (which can be found when you log into your Roamfree account).

At the Channel Operator ID field enter your Roamfree username (which is what you use to log into your Roamfree account).

At Channel Password enter your Roamfree password.

It is recommended that Send Rates is set as ticked.

Set Min Stay Handling field as required (we recommend First Available).

This is really only relevant if you will be mapping a single room type from iBex to multiple room types at Roamfree (eg. for length of stay price variations, etc).

Set Allocation Handling field as required (we recommend Total per Room).

This is really only relevant if you will be mapping a single room type from iBex to multiple room types at Roamfree (eg. for length of stay price variations, etc).

Click Save button.

Room and rate mapping will now be set – refer sample screen image below.

Complete each room mapping row as follows:

Channel Room Name – select as required (this is the room type name at Roamfree).
iBex Rate Name – select as required.
Channel Rate Name – select as required (this is the rate name at Roamfree).

Click ‘+’ to map any iBex room type to further room types at Roamfree (eg. for differing minimum stays/rates – see notes at bottom of this page). See image below for an example where the Standard Room has been connected to multiple room types at Roamfree.

Click Save button.

Click Save & Update Channel button.

Wait a few minutes and click View Log button.

If the Remote Service Log Viewer indicates queued updates are pending, wait a further few minutes and click the ‘Refresh’ button.

If you have performed the connection successfully you will see OK messages for inventory & rates uploaded.

IMPORTANT NOTES

Roamfree has the ability to update a number of affiliated sales channels and online booking sites (such as ResOnLine and Bookeasy). Please contact Roamfree directly for the options that they offer.

Please note that it is important that Roamfree does NOT update any sales channel that is already being updated through your iBex account as you will receive duplicated bookings, and your rates and availability sent from iBex will be over-written by Roamfree.

Roamfree receives the base room rate only from iBex – you will need to maintain any changes to extra adult/child prices directly at Roamfree.

Roamfree cannot accept multiple rates or minimum stay variations from Seekom for a single room type. If you wish to provide availability from iBex to Roamfree for differing rates / minimum stay periods on a room type you will need to duplicate the room at Roamfree for each rate / differing minimum stay.

Base 1 pax rates from iBex not transmitted to Roamfree unless the max guest count in the rate is also 1. Where a room holds more than 1 person and the base rate in iBex is 1, the 2 person rate will be transmitted to Roamfree.

Prices at roamfree.com will be converted to and displayed in AUD. Ensure you set your local currency within Roamfree extranet for correct conversion.

iBex supports up to 3 connections to Roamfree from a single property. Instructions vary at step 5 above if setting up a 2nd or 3rd connection.

After any extensive modification of your rates/prices within iBex it is recommended you perform a full re-synch to Roamfree. Click here for instructions.

Add Roamfree as an ODN agent in Seekom iBex:

From left menu select Users & Clients Create agent • no admin rights
At field labelled Seekom ODN Agents select Roamfree Direct (ODN) NOTE: If setting a second connection select ‘Roamfree Direct (Connection 2)’ or for a third connection select ‘Roamfree Direct (Connection 3)’.
Set User Group and Room Rate Value as required
Set other fields as required
Click Save button (towards bottom of screen)

From left menu select Users & Clients Agent Room-rate mapping.

At ‘Available Services’ field select Roamfree (Remote Service Control Panel will display – refer sample screen image below).

NOTE: If setting a second connection select ‘Roamfree Direct (Connection 2)’ or for a third connection select ‘Roamfree Direct (Connection 3)’

At the Remote Property ID field enter your Roamfree Property ID (which can be found when you log into your Roamfree account).

At the Channel Operator ID field enter your Roamfree username (which is what you use to log into your Roamfree account).

Enter Remote Password (your Roamfree password).

Ignore remaining fields at this stage and click Save button and then re-select Roamfree service.

Enter your email address at Notify Errors field.

Interface rules will now be set – refer sample screen image below.

It is recommended that Stop Emails are set as follows:

Operator – not checked
Property – checked
Customer – checked
Agent – checked
3rd Party – checked
Disable Auto – checked

Set Allocation Handling field as required.

To map any iBex room type to further room types at Roamfree (eg. for differing minimum stays/rates – see notes at bottom of this page) click ‘+’

Check Enabled field (top of screen), check Re-Synch field (bottom left of screen) and click ‘Save’ button.

Wait a few minutes and click ‘View Log’ hyperlink (coloured blue)

If you have performed the connection successfully you will see OK messages for inventory & rates uploaded.
