Web Preferences Setup

Under the Advanced Booking Screen Rules, you can select whether an adult is required in the room, required in the booking , or if children are required in the booking (regardless of adults).
Adult in Room (most common)
This means an adult is required in any room which is being booked.
This is our most common setting, so that child supervision is adhered to at all times.
Adult in Booking (Per Pax Rate Rules needs to be activated)
This allows guests to make multi room bookings, where an adult is required in the booking but not necessarily in every room which is being booked.
This setting is ideal for school camps, where only children may be booked in cabins.
Adult/Child in Booking (Per Pax Rate Rules needs to be activated)
This allows a minimum of 1 adult OR 1 child required in the booking. Infants cannot be booked into a room by themselves without a child or adult.
This setting will be more preferable for rooms which have been set up as individual dorm beds. If children (who are staying in a room without an adult) will be charged a different amount from the adults, you will require the Per Pax Rate Rules.
**Please note, this will then allow the children to book a room/dorm for the child price only
Rate Rule Setup
Rate Rules (Base or Per Pax)
- Log into iBex as the master operator.
- Go to Rates & min stays Search/Maintain Rates.
- Select the rate by clicking on the red ID.
- Once on the Rate Type screen scroll down to the ‘Guest Rules’ section where you will see the radio buttons for ‘Rate Rules’.
Base Rate Rules - The base room rate is always charged regardless of the presence of adult pax types. It has a maximum number of pax that are allowed to use this rate before changing to the extra pax rate. For example if this base rate has a max pax of 2 then only 2 pax can use this rate before additional pax use the extra pax rate.
Where there is a separate Child or Infant rate type then any unused occupancy at the Base rate is filled first before applying the extra per pax adult, child or infant rates.
For example, a room has a base rate of $100 for up to 2 pax and thereafter adults are charged at $80 per pax and children charged at $40 per pax. For 1 pax the charge is $100. For 2 pax the charge is $100. After the base pax number has been reached, the extra per pax rate applies so that every extra adult is charged at $80 and each child charged at $40.
Per Pax (Person) Rate Rules – If the Rate Rule is set to Per Pax Rate, then the base guests are no longer applicable, instead the base rate will be the value for each person who is being booked with this rate. The base guests will default to only 1 person, and additional guests can still be added.
For example, you may have a Per Pax base rate of 1 person at $50, and 3 additional guests. Each additional guest will be calculated at the same price as the base rate, so each additional guest will also be $50 each.
If the per pax base rate is $100, then 1 person will be calculated at $100, and any additional people will also be $100 each.
The extra person rate (used in the base rule rate) is no longer applicable, as the base rate will now be the value which is applied to additional guests.
- If a separate child/infant rate exists, then the child/infant rate values will apply for any children/infants which are added to bookings.
- If a separate child/infant rate does not exist but the child/infant guest type is allowed in the main rate, then the additional adult rate shall apply for children, and infants will be included at no additional fee.
Legacy Front Screen Behaviour
The Legacy Front Screens will now handle bookings for adults, children and infants to be in separate beds (bunks) and also where applicable allow a child to make a booking for themselves and infants without acquiring an adult anywhere in the booking.
