Guestlink – Seekom

If you have a live account with Guestlink you can now automate availability, rates and bookings by interfacing/connecting your iBex account to Guestlink. Click here for more information on listing with Guestlink

Note: If you would like Seekom support to make the connection for you, a charge of $110 per hour (+tax) will apply with a minimum charge of $50 (+tax).

Step	Action
1	You will need to request GuestLink to set iBex as your channel manager and provide you with the following: Contact ID Connect password Guestlink property ID The above information will be required to complete steps 6 to 8 below.
2	Login to your Seekom iBex account – click here
3	From left menu select Sales Channels Add a sales Channel
4	At the pop up window titled ‘New Sales Channel’ click the button Register Available Sales Channel
5	Enter ‘guestlink’ into search field at top right of window and press enter on your keyboard. Matching results will be displayed – see example screen image below.
6	If this the first and only connection to GuestLink click the green plus icon adjacent to Guestlink (see above example). If this is an additional connection select GuestLlink (Connection 2 or 3) as appropriate. Refer Important Notes section below.
7	Optionally update General section fields as required. Notes are private. Refer sample example screen image below.
8	At Rules section: select what Selling Group you want Guestlink to be registered to (click here for more information about selling groups) select the Rate Modifier that you want Guestlink to use – Rate 1 will typically be same as you sell at, other options will be a % increase or discount (click here for more information about Rate Modifiers). PMS accounts only – set Multi-booking Invoice as required. ‘ No’ means you will send an invoice for each booking, ‘Yes’ means you can send multiple bookings on one invoice. PMS accounts only – If you want to remove the amount charged by Guestlink for any bookings received, set the Commission charged by Guestlink. PMS accounts only – In order for the commission amount be removed from the booking, it needs to be registered to the booking as an extra. Set the extra that the amount is logged to in the Commission Extras Code field. If you have not an extra registered to your account, save the details and register the extra once you have set it up. Refer example below:
9	Click Register Sales Channel button. You will progress to the Channel Mapping tab.
10	Enter your email address at iBex Notification Emails To field.
	It is recommended that iBex Email on New Booking are set as follows: Block Operator – not checked Block Property – checked Block Customer – checked
11	It is recommended that iBex Booking Email Rule is set to ‘Do not send emails’.
12	At Channel Property ID enter your Guestlink property ID (refer step 1).
13	At Channel Operator ID enter your Guestlink Contact ID (refer step 1).
14	Enter Channel Password enter your Guestlink +Connect password (refer step 1).
15	Set Allocation Handling field as required (we recommend Total per Room). This is really only relevant if you will be mapping a single room type from iBex to multiple room types at GuestLink (eg. for length of stay price variations, etc).
16	Set Min Stay Handling field as required (we recommend First Available). This is really only relevant if you will be mapping a single room type from iBex to multiple room types at GuestLink (eg. for length of stay price variations, etc).
17	Click Save button.
18	Room and rate mapping will now be set – refer sample screen image below.
19	Complete each room mapping row as follows: Channel Room Name – select as required (this is the room type name at GuestLink). iBex Rate Name – select as required. Click ‘+’ to map any iBex room type to further room types at GuestLink (eg. for differing minimum stays/rates – see notes at bottom of this page).
20	Click Save button.
21	Click Save & Update Channel button.
22	Wait a few minutes and click View Log button. See example below.

Add Guestlink as an ODN agent in Seekom iBex:

From left menu select Users & Clients Create agent • no admin rights
At field labelled Seekom ODN Agents select GuestLink (ODN) NOTE: If setting a second connection select ‘GuestLink (Connection 2)’ or for a third connection select ‘GuestLink (Connection 3)’
Set User Group and Room Rate Value as required
Set other fields as required
Click Save button (towards bottom of screen)

From left menu select Users & Clients Agent Room-rate mapping.

At ‘Available Services’ field select GuestLink (Remote Service Control Panel will display – refer sample screen image below).

NOTE: If setting a second connection select ‘GuestLink (Connection 2)’ or for a third connection select ‘GuestLink (Connection 3)’

Enter Remote Property ID (your Guestlink property ID – refer step 1).

Enter Remote Operator ID (your Guestlink Contact ID – refer step 1).

Enter Remote Password (your Guestlink +Connect password – refer step 1).

Tick Enabled check box.

Enter your email address at Notify Errors field.

Interface rules will now be set – refer sample screen image below.

It is recommended that Stop Emails are set as follows:

Operator – not checked
Property – checked
Customer – checked
Agent – checked
3rd Party – checked
Disable Auto – checked

Set Allocation Handling field as required.

This is only relevant if you will be mapping a single room type from iBex to multiple room types at GuestLink (eg. for length of stay price variations, etc)

Set field Min Stay Handling as required. Relevant options for GuestLink are:

First Available – if you are setting up one to one room type mapping only and merely wish GuestLink to operate to lowest min stay pricing.
Specific Minstays – if you wish to map a specific min stay duration pricing to GuestLink and/or will be mapping one room type in Ibex to multiple room stay variations at GuestLink.

Room and rate mapping will now be set – refer sample screen image below.

Complete each room mapping row as follows:

Remote Room Name – select as required (this is the room type name at GuestLink)
Rate Name – Select as required.

To map any iBex room type to further room types at GuestLink (eg. for differing minimum stays/rates – see notes at bottom of this page) click ‘+’

Check Re-Synch field (bottom left of screen) and click Save button.

Wait a few minutes and click ‘View Log’ hyperlink (coloured blue).

If you have performed the connection successfully you will see OK messages for inventory & rates uploaded. See example below.

IMPORTANT NOTES

Guestlink receives extra adult pricing from iBex but does not receive child rates. Child rates must be set within Guest link.

Guestlink cannot accept multiple rates or minimum stay variations from iBex for a single room type. If you wish to provide availability from iBex to Guestlink for differing rates / minimum stay periods on a room type you will need to duplicate the room at Guestlink for each rate / differing minimum stay.

You must set at Guestlink the maximum number of units you have available for each room type. You can set this figure slightly higher than actual as iBex will transmit to Guestlink actual availability.

If you make any changes to room details at Guestlink your listing with them will not be publicly available for bookings until they have confirmed your changes.

iBex supports up to 3 connections to Guestlink from a single property. Instructions vary at step 6 above if setting up a 2nd or 3rd connection.

After any extensive modification of your rates/prices within iBex it is recommended you perform a full re-synch to Guestlink. Click Here for instructions.
